Dear Manager,

I’m honoured that our company picked me to go to the annual finance seminar. I’m glad I got to represent our company and learn from experts in the field. But I’m sorry to say that I won’t be able to attend the seminar as planned because of something out of my control.

I can’t go to the seminar because my wife is about to give birth to our first child around the same time, and I can’t be away from her at such a crucial time. It means a lot to me, and I hope you can understand.

I’d rather not go, so I suggest that another person from our company go in my place. I think Mr. John Doe would be perfect for the job and would get a lot out of the seminar. He has said before that he wants to go to events like these, and he knows a lot about them.

I’m sorry if my absence causes any trouble, and I hope you’ll think about the person I suggested as a replacement. Thank you for getting what was going on with me.
